Description

This project focuses on developing a centralized web portal designed to capture, manage, and analyze procurement activities and vendor payments, specifically targeting Micro and Small Enterprises (MSE) and transactions conducted through the Government eMarketplace (GeM) portal. The solution encompasses two primary functionalities: management of procurement activities and vendor payment management.

To streamline procurement operations, we have created a model that automates data capture and integrates seamlessly with the GeM portal. This will facilitate efficient procurement processes and improve data accuracy. The web portal features a user-friendly interface, providing real-time access to procurement and payment data, thereby ensuring transparency in NEEPCO's operations. Enhanced security measures, including role-based access control and multi-factor authentication, safeguard sensitive information.

Data will be collected via customizable forms structured according to government norms, ensuring compliance and standardization. One of the novel aspects of our solution is the incorporation of data visualization through dynamic graphs, reports, and analytics. This feature, along with financial forecasting, notification, and alert systems for payment due dates, budget thresholds, and other critical financial events, will significantly enhance financial management for NEEPCO.

Additionally, the portal maintains vendor payment status throughout the procurement process, indicating stages such as "Under Process" and "Paid." Users can generate reports tailored to organizational requirements, including yearly and quarterly procurement records, vendor reports, and budget analysis reports, to facilitate more efficient management of NEEPCO's operations.

The platform also supports the addition of an annual procurement plan, helping track the procurement of goods and services throughout the year.Through categorization and classification features, NEEPCO can gain a comprehensive understanding of procurement expenses, providing deeper insights and enabling better financial oversight. Overall, our solution aims to enhance operational efficiency, transparency, and financial management within NEEPCO by leveraging advanced data integration and automation technologies.

Usage

- Procurements made through GeM portals will be directly fetched and stored in the system, reducing manual efforts.
- The organization can assign editing rights to the employees of the procurement cell for adding or modifying procurement records within the system.
- Vendor payments are tracked throughout the process, including account payables and uploading payment invoices on the portal.
- The organization can download procurement reports and generate analysis reports to gain better insights into the procurement process.
- All NEEPCO branches can handle their respective data in an easy-to-use and efficient manner.
- Budget management will be provided, allowing the organization to plan a budget segregating it across categories of goods and services required. Budget surpluses and deficits are shown on the dashboard to enhance future planning efficiently.
